IT AMC cost in India: why nobody will quote you a price

Search for IT annual maintenance contract pricing in India and you will find almost nothing specific. Vendors explain that it depends on location, equipment age and service level — which is true, and also conveniently keeps you without a benchmark when the negotiation starts.

You cannot fix the industry's habit. You can build your own benchmark, and it takes about an hour.

Create your own comparison

Send every provider the same document. Not a description of your business — an inventory and a specification:

  • Exact count of desktops, laptops, servers, printers, network devices
  • Age of each category, roughly
  • Number of sites and where they are
  • Number of users
  • Working hours you need covered
  • Response time you need, by severity
  • Whether you need an engineer on site, and how often

Quotes built on identical inputs can be compared. Quotes built on each provider's own assumptions cannot — and when a provider assumes a lighter scope, their number looks better for reasons that have nothing to do with value.

Comprehensive or non-comprehensive

This is the largest structural decision and the one most often glossed over.

The gap between the two quotes is informative in itself: it is the provider telling you how often they expect your equipment to fail. A large gap on an ageing estate is a signal worth taking seriously.

Non-comprehensive suits newer equipment still under warranty. Comprehensive suits an older estate, or any situation where an unpredictable parts bill is worse for you than a higher fixed fee.

The terms that decide what you actually bought

  • Response time, and whether it is measured to acknowledgement or to a person working on it
  • Working hours covered, and what happens outside them
  • Whether an engineer attends site, and how many visits are included
  • What is excluded — consumables, licences, user damage, and anything liquid
  • Replacement policy — do you get a standby machine while yours is repaired
  • What happens when your usual engineer is unavailable

That last one matters more than the headline rate. A great many AMCs in India are effectively one engineer who knows your setup. When they leave, you have a contract and nobody who understands your environment.

Be sceptical of savings claims

You will see marketing figures claiming thirty-five to forty per cent savings against in-house support. These rarely come with a stated methodology, and they are comparing against an in-house arrangement chosen to make the number look good.

Build the comparison from your own data instead. Add up what you actually spent last year on IT repairs, replacement parts, and the hours your team lost to things being broken. That figure is specific to you, it is defensible internally, and it is the only benchmark that tells you whether an AMC quote is good.

The distinction most buyers get wrong

There are two different products sold under similar names.

A **repair contract** fixes things when they break, quickly and competently. A **managed service** monitors proactively, patches on a schedule, verifies backups, and tries to prevent the failure happening at all.

Most buyers ask for the first and expect the second. They sign a repair contract, then feel let down when things keep breaking — but preventing breakage was never in the scope, and the price reflected that.

Decide which you want before you request quotes. If downtime costs your business real money, the managed service is usually better value despite the higher headline rate, because the comparison is not fee against fee — it is fee against the downtime it removes.
