Support desk software is a crowded market where every product demonstrates well. Freshdesk, Zoho Desk and Zendesk all handle a ticket competently. The decision usually comes down to channels, reporting and cost at your actual volume.
Start with the channels your customers genuinely use. In India that increasingly means WhatsApp alongside email and phone. Support for it varies from native to bolted-on to absent, and the difference is visible in whether an agent can handle a WhatsApp conversation without leaving the tool.
Email threading is the unglamorous feature that decides daily quality of life. Customers reply to old tickets, forward threads, add colleagues, and change subject lines. A tool that handles this badly produces duplicate tickets and split conversations, and agents spend their time merging rather than answering.
Look hard at reporting before buying, because it is where products differ most and demos reveal least. First response time, resolution time and backlog by category are the numbers that let you staff correctly. If those require a higher tier or an add-on, factor that into the price.
Model the cost at the team size you expect in two years, including seasonal agents. Per-agent pricing is comfortable for five and a serious line item for thirty, and some products charge for occasional users at the same rate as full-time ones.
Separate this decision from your internal IT service desk if you have one. The two look similar and have different requirements — customer support is optimised for volume and tone, internal IT for asset tracking and approval workflows. Using one tool for both usually means one of the two functions is working around the tool.
